Gmail (Google Mail) – Sending & Receiving Wrap up Web Mailbox Emails

IMPORTANT:

From January 2026 onwards Google Gmail will no longer allow the receiving/collecting of emails from other third-party mailboxes (including Wrap up Web) using the POP/POP3(Post Office Protocol) method. 

The use of POP/POP3 is being ended by Gmail for security reasons.

What does this mean for me as as a Wrap up Web customer?

This means STEP 1 – Setup the Receiving of emails in Gmail (As previously described below) will no longer be configurable and if currently in place will cease to work at some unknown point beginning January 2026.

Is the SENDING of Emails in Gmail using a third-party mailbox stopping?

No, the sending of emails in Gmail uses IMAP (not POP/POP3) so will continue. This is described as STEP 2 in the instructions below. 

Will I lose any emails already in my Gmail account?

No, any emails already collected by Gmail will remain there. After POP/POP3 is turned off you just won’t receive any more.

Q. What’s the solution if I currently use Gmail to receive/collect my Wrap up Web mailbox emails?

A. The solution will depend on what devices you use and how you access Gmail on those devices

 

If you use the Gmail app on a Phone (Android & iPhone) or on an iPad

You can continue to receive AND send emails using your Wrap up Web mailbox as these devises use the Gmail app which uses IMAP (not POP/POP3) to collect emails. Learn how to add an email account to the Gmail app.

You can continue to use the Gmail app as normal on those devices. 

 

If you access Gmail through a browser in Chrome (i.e. Windows Laptop and/or Desktop) or Safari (i.e. iMac)

This means you access Gmail via a browser url (not Gmail app) by navigating to mail.google.com

Receiving/collecting your Wrap up Web mailbox emails using Gmail will end from January 2026.

Your solution choices are as follows…

 

Solution 1

Use a different Email Application to pick up your emails via the IMAP method(not POP/POP3) such as using MS Outlook, MS 365, Mozilla Thunderbird or Yahoo Email.

 

Solution 2

This solution/work around allows you to continue to use Gmail to receive/collect AND send emails using your Wrap up Web Mailbox.

IMPORTANT NOTE: If you are a Wrap up Web customer we will assist with the following solution. We recommend that you do not make any changes to your Gmail account if you are unsure. Please contact us to discuss further.

 
Solution 2 in summary

You delete the Mailbox Receiving/Collection Mailbox connection in Gmail and replace it with a simple email forward as well as a Send Only Email Mailbox to Send emails in Gmail.

This allows you to continue to use your Gmail account to both collect your emails (via an email forward) and Send emails via a Send only Mailbox.

 
Solution 2 in a nutshell

You can repeat the following for each mailbox email address you want to use in Gmail

A. Server side – Set up a simple Email Forward from your email address to your Gmail address (Wrap up Web will assist)

B. Server side – Delete the original Send & Receive email mailbox (Wrap up Web will assist)

C. Server side – Create a new Send Only mailbox to replace the deleted Send & Receive mailbox above (Wrap up Web will assist)

D. In Gmail – Remove the original POP/POP3 Receive/Collect Connection  

E. In Gmail – Configure the new Send Only mailbox in Gmail to replace the original Send & Receive mailbox so that emails can continue to be sent via Gmail (Using IMAP)

F. In Gmail – Configure the Reply to options

 
Solution 2 Working Example 

Let’s say your affected Mailbox email is myname@mybusiness.co.uk

 
A. Set up an Email Forward (Wrap up Web will assist)

Create an email forward so that myname@mybusiness.co.uk forwards to the Google Account Gmail address you use normally for collecting this Mailbox.

For example: myname@mybusiness.co.uk is forwarded to yourname@mygmail.com

This allows your emails to continue to be received into your Gmail account.

IMPORTANT: The next step will be to delete the original send/receive mailbox. Before moving on to the next step, test the email forward above to make sure you are receiving emails via that forward. Send a test email to myname@mybusiness.co.uk and make sure it arrives in your yourname@mygmail.com Gmail account.

 
B. Delete the original send/receive mailbox (Wrap up Web will assist)

Before completing this step please make sure you have completed an email forward test as per the section above marked IMPORTANT.

Delete the original send/receive mailbox. Don’t panic! – there should be no emails in the mailbox because you have been previously using POP/POP3 to ‘draw down’ emails from the mailbox to Gmail. Please check anyway just in case there might be other folders in the mailbox that you might want to keep? 

 
C. Create a new Send only Mailbox (Wrap up Web will assist)

Create a new send Only Mailbox using the same mailbox credentials (Email/password) as the deleted send/receive mailbox above. They can be different but any revised password used will need to be reconfigured/configured in Gmail.

This send only mailbox will allow Gmail to still send your emails (using IMAP) but will not be used to receive/collect your emails, this is being done using the email forward set up above.

You can set up as many Send Only mailboxes as you like if you have multiple email addresses and wish to use them all in Gmail. 

 
D.  Gmail configuration – Delete the ‘Check email from other accounts:’ POP/POP3 connection

Because we have now deleted the original Send/Receive Mailbox on the server, Gmail no longer needs the connection to that Mailbox to collect emails via POP/POP3.

Remember this is the POP/POP3 connection setting that will no longer work from January 2026 so it can now be deleted.

In Gmail click the setting cog icon(top right) then ‘See All Settings’ then ‘Accounts and Import’ then under the heading ‘Check email from other accounts:’ click the ‘delete’ link (far right) for the email address you have created the new Send Only Mailbox for. 

 
E.  Gmail configuration – Set up the new Send Only mailbox IMAP connection to Send

Whilst still in the Gmail page settings, under ‘the heading ‘Send mail as:’ you will need to add the email address you have created the new Send Only Mailbox for, if it is not there already. 

If it is already there and you have not changed the Mailbox password you can skip this part as the Send feature in Gmail will pick up the new Send Only Mailbox using the same settings.

If the ‘Send mail as:’ for your Send Only Mailbox is not there OR you need to update the password you will need to add/edit it by following the instructions below for STEP 2 and STEP 3

 
F.  Gmail configuration – Set up the ‘When replying to a message:’ option

This setting in Gmail allows you to stipulate what email address to use when replying to a message. Please follow the instructions described in STEP 4 below.

Please carefully read the above before proceeding with these instructions!

If you have a Google Gmail account it can be used to Send and Receive emails from a Wrap up Web mailbox account.

This is an improvement on using your Gmail email address to email your customers because it ensures those receiving your emails see your mailbox email address i.e. info@yourbusinessdomain.com rather than your Gmail email address i.e. yourbusiness@gmail.com.

Also customers can send emails to you using your mailbox email i.e. info@yourbusinessdomain.com rather than your Gmail email i.e. yourbusiness@gmail.com.


Before you start, have your Wrap up Web mailbox username(email address) and password at hand.

These instructions are best completed using a Tablet/Laptop/Desktop rather than a Mobile device.

This is a 4 STEP process.


STEP 1
 – Setup Receiving emails (Please note this functionality will be disabled from Jan 2026 – See ‘IMPORTANT’ above)

STEP 2 – Setup Sending emails

STEP 3 – Setup the default send email address 

STEP 4 – Setup the default reply email address


To begin…

Ensure you are first logged into the Google account you wish to use to pick up your Mailbox in Gmail  

  • Open a browser of your choice i.e. Google Chrome
  • Login to your chosen Google account(this is not the same as your mailbox credentials)
  • Click the ‘Waffle’ icon top right and select ‘Gmail’
  • Once in Gmail, click the Settings icon (Cog icon top right)
  • Click See All Settings
  • Click the Accounts or Accounts and Import Tab

 

STEP 1 – Setup the Receiving of emails in Gmail

To the right of the headingCheck email from other accounts:’ 

Click Add a email account

Email Address: Type in your username(email address)

Click Next button

Select Import emails from my other account (POP3)

Click Next button

Username: your mailbox email address(email address)

Password: your mailbox password

POP Server: This should be set to pop3.stackmail.com

Port: 995

Tick the box Always use a secure connection (SSL) when retrieving mail

Click Add Account >> button

Select Yes, I want to be able to send mail as ‘Your Email Address’

Click Next >> button

Name: Edit as Required

Treat as alias: Ensure box is ticked

Click Next Step >> button

At the Add another email address that you own prompt follow the STEP 2 instructions below

 

STEP 2 – Setup the Sending emails in Gmail

Sending emails in Gmail using your Wrap up Web mailbox email address it preferable because customers will not see your gmail address when they receive an email from you but instead will see your Wrap up Web mailbox email address.

To do this…

Under the heading ‘Send mail as:’

click the link ‘Add another email address’

In ‘NAME’, type in your chosen name i.e. Your Name or the username email address 

In ‘Email Address’, type in your mailbox username email address above

Leave ‘Treat as an alias’ as ticked

Click ‘Next Step’

SMTP Server: This should be set to smtp.stackmail.com

Username: your mailbox username(i.e. email address)

Password: your mailbox password

Port: 465

Select secure connection using SSL

Click the Add Account >> button

At the Confirm verification and add your email address prompt you will be required to prove you own the email address by receiving an email from Google sent to the mailbox address you are setting up. This task must be completed to ensure you can send using Gmail.

If you/Wrap up Web have already set up an Email forward from your Mailbox Email address to your Gmail Email address you will receive this  verification email.

Once verification is complete you will be able to see your email listed under Send mail as.

When sending a new email you will now able to select the email address above as the sender address.

 

STEP 3 – Setup your Wrap up Web Mailbox email address as the send address by default

When a customer receives an email from you sent using Gmail, Gmail automatically defaults to sending it using the Gmail server (i.e. the gmail address of your Google account).

You can change the default ‘From’ email address every time you compose a new message or reply to a message if you prefer.

You will see when composing a new message or replying to a message an option to click a drop down arrow to the right of the ‘From’ email address. (if you do not see a drop down arrow you have not set up a ‘Send mail as’ mailbox account yet – see Step 2 above). 

You can however, if you prefer, change the default Send address from your Gmail address to automatically use your Wrap up Web Mailbox email address (you set up in STEP 3 above) as the sending server so customers automatically receive a message from your Wrap up Web Mailbox email address rather than your Gmail address.

To do this…

  1. Click the setting ‘Cog’ icon top right
  2. Click ‘See all Settings’
  3. Click ‘Accounts and Import’ or ‘Accounts’
  4. Scroll down to ‘Send Mail as’
  5. Click the ‘make default’ link for your chosen account 

 

Now each time you compose a new email or reply to an email the reply email address will be your Wrap up Web Mailbox email address rather than your Gmail email address.   

 

STEP 4 – When replying to an email set the send address as your default send address above or reply from the same address to which the message was sent

When you reply to an email in Gmail and have multiple Mailbox send accounts set up (STEP 3) you can either set Gmail to ‘Always reply from your default send address’ or you set it to ‘Reply from the same address to which the message was sent’.

As a rule if you only have one Send account set up in addition to the default Gmail account you would leave the setting as ‘Always reply from default address’

If you have multiple Send accounts set up then the preferred option would be ‘Reply from the same address…’.

This ensures you don’t have to manually set the reply address each time you reply to an email sent to that email account.

Effectively this works by Gmail identifying the incoming email address and matching it against the same Send Only Mailboxes you have set up then using that mailbox to send your reply.

For Example

If someone sends a message to myname@mybusiness.co.uk Gmail will see it’s from myname@mybusiness.co.uk, it will then match this email address to the equivalent  myname@mybusiness.co.uk Send Only mailbox so it will then use that mailbox to reply to the email.

If someone sends a message to myname01@mybusiness.co.uk Gmail will see it’s from myname01@mybusiness.co.uk, it will then match this email address to the equivalent  myname01@mybusiness.co.uk Send Only mailbox so it will then use that mailbox to reply to the email.

To set this option   

  1. Click the setting ‘Cog’ icon top right
  2. Click ‘See all Settings’
  3. Click ‘Accounts and Import’ or ‘Accounts’
  4. Under the heading ‘Send mail as:’ there is  a sub heading ‘When replying to a message’
  5. You can select here which option you would like ‘Reply from the same address to which the message was sent’ OR ‘Always reply from default address’ 

 

Forcing Emails to be received

Gmail does not provide a button to force external mailbox receiving/sending. Gmail will send/receive external mailboxes when it chooses.

If you are expecting an email and it has not arrived yet or have an email stuck in the ‘Sent’ folder follow the instructions to force receipt/send.

  1. Click the setting ‘Cog’ icon top right
  2. Click ‘See all Settings’
  3. Click ‘Accounts and Import’ or ‘Accounts’
  4. Scroll down to ‘Check email from other accounts:’
  5. Click the ‘Check mail now’ link for the account you wish to force

 

Import contacts into your Gmail account(Optional)

If you have contact lists in other email accounts that you want to use in Gmail, you can import them into Google Contacts.

  1. Click the Settings icon (Cog icon top right)
  2. Settings/’Accounts and Imports’
  3. Import mail and contacts
  4. Enter your email address
  5. Press Continue
  6. Enter Password
  7. POP username: Email address
  8. POP server: pop3.stackmail.com
  9. Port: 995
  10. Use SSL: Tick as required

 

Gmail Troubleshooting

When trying to add a new account you get the error message ‘You cannot create a mail account for …’

This can be caused because Google has detected you are already logged in with the same email account using a different email application such as outlook or webmail. Ensure you log out of any other email applications that are using the same email account then try again.

If this does not work and your domain name has recently gone live and/or your domain name has recently had its server details changed Google needs to have ‘discovered’ the newly configured domain name first and deemed it valid before it will allow a connection through its servers.

Another reason is that you trying to set up an email account using an email address that is the same as the email address you use to login to your Google/Gmail Account. If this is the case an MX Record will need to be set up on our servers to point to Google mail servers so your emails are sent to the Google servers rather than ours. The MX Record for Google is ASPMX.L.GOOGLE.COM

 

When trying to send a message in Gmail you get the following bounce back email error message

“Message not delivered You’re sending this from a different address or alias using the ‘Send mail as’ feature. The settings for your ‘Send mail as’ account are misconfigured or out of date. Check those settings and try resending.

LEARN MORE The response was:TLS Negotiation failed, the certificate doesn’t match the host.”

This means the outgoing mail server name is not set correctly

To remove the error

  1. Go into Gmail Settings. Click the Cog icon top right then click ‘settings’
  2. Click ‘Accounts and Import’
  3. Look for the default ‘Send mail as’ account
  4. Click ‘Edit info’
  5. Click ‘Next Step’
  6. Change the SMTP Server from whatever it is to smtp.stackmail.com
  7. Ensure the port is set to 465 and ‘Secured connection SSL’ is selected
  8. Enter you mailbox password
  9. Press ‘Save Changes

Wrap up Web Email Mailbox Setup & Configuration

The settings below can be applied to any Email application you wish to use to pick up your Wrap up Web Email Mailbox.

Specific instructions are provided for most common email applications such as Android Phone, Apple Mac Mail, iPhone/iPad, Microsoft Outlook, Gmail and Mozilla Thunderbird.

Let’s use a made up Email Mailbox account to demonstrate

Domain name: mybusiness.co.uk
